Hotel Group Pipeline & Payment Management in One Place
Group business is not a hotel chain. It is the conferences, tours, weddings and allotments sitting on the books — rooms, guests, deposits and operational work that too often live in inboxes until arrival week.

Group pipeline visibility
MyRevenueDashboard holds hotel group bookings as a working pipeline: reservation identity, arrival dates, current room and guest counts, and how complete the booking is. Revenue managers and operations can see which groups are coming, how large they are now, and which still need commercial or operational attention — without maintaining a second tracker beside the PMS.
Larger FIT reservations can appear in the group book when they meet the hotel’s group-qualification rules. Bookings that should not be treated as group business can be excluded by the operator. The point is a truthful group pipeline, not a dump of every multi-room stay.
Payment management for group bookings
Deposit risk is a commercial fact, not an accounts afterthought. Each group booking carries a payment status the hotel can actually use in a meeting:
- Awaiting deposit
- Deposit received
- Account to company
- Full pre-payment received
Account to company is not treated as paid. Full pre-payment is visible as its own state. That keeps owner and GM conversations honest when someone asks whether the group book is collected.

Operational readiness on the same record
Group work is a sequence: follow-up, deposit, rooming list, dietary and dinner requirements, porterage, ETA and ETD, comments and arrival checks. Milestone controls sit at 120, 90, 60, 45, 30 and 14 days before arrival so operations and commercial teams are looking at the same completion state — not two coloured spreadsheets.
Contracts and documents with the booking
Proposals, contracts and supporting files belong on the group record. Where a contract is genuinely not required, that can be recorded as contract not applicable so the booking is not stuck in a false incomplete state. The aim is fewer “the PDF is in someone’s inbox” conversations in arrival week.
Group reporting, including last year where the data exists
Group contribution should appear in commercial reporting, not only in the live pipeline. Where comparable history exists, MyRevenueDashboard can report group business against the same timeframe last year — the comparison owners actually ask for, rather than a calendar-shifted guess. That sits with hotel revenue reporting and the commercial dashboard.
Why group bookings change the commercial result
Occupancy and ADR move when a group slips, shrinks, or arrives without a deposit. Treating group bookings as a separate operations hobby is how hotels get surprised. Pipeline, payment, documents and workflow are one product surface because they are one commercial risk.
